The American Heart Association has an excellent opportunity for a Finance Administrative Assistant in our office located in Dallas, TX.

 

This position will work in a hybrid setting (in office approximately 2-3 days a week and as needed) in our Dallas, TX. office.

 

In this role, you will be responsible for processing, supporting, and coordinating finance related administrative functions, such as data entry, incoming and outgoing mailings, office supplies, routing of phone calls, and related duties for the entire department. Responsible for providing customer service response and resolution to National Center and Departmental/Regional staff.

Responsibilities

  • Data entry in various software applications (E1 Financial System, Excel, Word, etc.)
  • Support accounts payable check, sealing, mailing and Pcard delivery (mailing), and accounts receivable invoice printing and mailing.
  • Responsible for entering/uploading monthly invoices submitted by the GL team into E1.
  • Coordinate meetings and travel arrangements for Finance.
  • Responsible for Finance Department management expense reports and travel booking.
  • Utilizes Microsoft Word, Excel, and PowerPoint to prepare correspondence and various materials.
  • Assists National Center Finance new hires with obtaining laptop, general office supplies, cubicle assignments, etc.
  • Provides other general administrative support in-person and remote misc. duties and projects as needed.
  • Assists with answering, responding and/or forwarding inquiries to the appropriate finance department staff to ensure timely customer service (telephone or email).
  • Order office supplies, sort and deliver mail. Supports department meetings and events and manages calendar and travel for finance staff. Finance staff sponsor working with BT to arrange new employee technology needs.

 

Qualifications

  • High School Diploma or Equivalent.
  • Minimum six months of experience in the related field.
  • Experience in administrative practices, office procedures, and telephone etiquette.
  • Ability to communicate with people both in person and by telephone.
  • Skilled in PC applications including Windows, Excel, Word, Power Point.
  • Ability to learn, think, reason, and solve problems.
  • Ability to interact with all levels of National Center and Affiliate staff.
  • Ability to compute basic arithmetic.
  • Skilled in written communications.
  • Ability to work independently.
