The American Heart Association has an excellent opportunity for a Sr. Project Coordinator in our Mission Advancement department, working with our Transformational Philanthropy team. 

We prefer this position to be in the Dallas, TX area and will work in a hybrid setting (in the office as needed). We will consider home-based for the right candidate.

Responsibilities

This individual will manage day-to-day administration, including calendar and travel management, project assignments, donor research and data quality in our Salesforce Customer Relationship Management database (Salesforce CRM) for the team.  Responsible for maintaining professionalism and collegiality in support of the team, managing conflict free calendar and travel for up to five team members, processing invoices and expenses, and assisting with scheduling calls and meetings.

  • Provides administrative support to the National SVP Transformational Philanthropy and up to 4 additional staff members focused on ultra-high net worth individuals 
    and family offices, which will include but not be limited to scheduling and processing travel and expenses, calendar and event participation, team meetings, group calls,
    professional development workshops, or related planning and logistics.
    Serves as Salesforce CRM power user to monitor and provide updates as needed to ensure data quality.  This includes complete and accurate donor records, revenue review and recording, creating dashboards as needed, and providing technical assistance to the team on how to access information. Serves as the data liaison with Mission Advancement operations.
    Coordinates internal and external donor meetings with the highest level of professionalism and communication techniques.
    Supports the relationship development of top donors to the American Heart Association, coordinating details for small donor gatherings and other cultivation efforts. 
    Assists with the preparation of proposal documents, reports, presentations, correspondence or face-to-face meeting support materials.
    Develops understanding and knowledge of Mission Advancement areas of business, the Association's Mission, and goals to ensure effectiveness in role.
    Participates in Mission Advancement team projects and initiatives as requested.

 

Qualifications

  • High School Diploma or Equivalent.
  • Two (2) – Five (5) years of experience.
  • Experience providing administrative support, preferably for development teams, of three or more individuals.
  • Ability to initiate support and collaborate with all levels of staff, prospects, volunteers and donors.
  • Comprehensive ability to prepare written communications for various audiences or individuals, including report formatting and visual aids.

Preferred Experience:

 

  • Understanding of the philanthropic environment.
  • Experience working with high-net-worth donors and/or foundations.
  • Experience in a non-profit, hospital, research, or academic institution.
  • Experience working with colleagues in remote locations and within different time zones.
