The American Heart Association has an exciting opportunity for a Marketing and Creative Coordinator to join our Science Marketing team. This full-time temporary position, based at our National Center in Dallas, TX. This position has flexibility to work remotely on a hybrid weekly schedule.
As a Coordinator, you will play a pivotal role in supporting the Science Marketing department by coordinating projects, managing vendor relationships, tracking creative deliverables and ensuring the smooth execution of science and professional initiatives. Your responsibilities will include project coordination, timeline monitoring, communication, and logistical support for marketing efforts related to membership, conferences, events, Lifelong Learning, and digital deliverables. Additionally, you will contribute to management of operational budget(s), record-keeping, and administrative tasks.

· Coordinate and monitor project timelines, ensuring effective communication of project needs.
· Organize, schedule and attend meetings, overseeing the calendar of initiatives.
· Work closely with vendors to track creative deliverables and assets, ensuring seamless collaboration and timely project completion.
· Recruit and coordinate staff, volunteers, and vendors for participation and logistical coordination.
· Assist with marketing efforts, including updating online content, distributing materials, and communicating with vendors, contractors, and volunteers.
· Efficiently use vendor and Association project management systems for project tracking and completion.
· Work with team members on budget maintenance, including tracking and documentation system, routing contracts, submitting invoices, and assemble budget reporting
· Provide exceptional customer service to coworkers, volunteers, and vendors, responding promptly to requests and meeting deadlines.
· Physical presence in the office to package and ship materials for conferences and meetings.
· Collaborate with Senior Managers of Marketing and Communications on various tasks, such as organizing and detailing briefs between stakeholders and vendors.
· Work on projects associated with Research and other stakeholder-oriented initiatives.
