We’re hiring a Development Coordinator in our Southeast Region.

This is a temporary position with an end date of 6/30/2026.

This position can be home-based, and the location is flexible to our Southeast Region states, including NC, SC, GA, FL, AL, LA, MS, and TN.

In this position, you will assist the Contract Administrator in managing all event contracts for the Southeast region. You will oversee the full cycle of the contract process, including identifying and initiating the appropriate agreement, coordinating with the legal department for review and approval, communicating updates and revisions to staff, facilitating the execution of contracts, conducting regular contract status meetings, and onboarding vendors to the supplier portal.

Responsibilities

Some of your responsibilities will include (but not limited to):

  • Conduct thorough contract reviews to ensure compliance with internal policies and proper execution of agreements, while determining the appropriate contract type for each engagement.
  • Request and verify Certificates of Insurance (COI) as needed, ensuring adequate coverage is in place.
  • Submit contracts for legal review and approval and manage the final documentation process by uploading executed agreements to Optimus.
  • Serve as a liaison between the legal department and event staff to facilitate clear and timely communication.
  • Review vendor payment terms and support vendor onboarding within the payment portal, including proactive follow-up and assistance to ensure successful setup.

Qualifications

  • High School Diploma or equivalent.
  • 3 years of prior administrative support, database management, project management, or relevant experience.
  • Excellent attention to detail, organization of workflow and timelines, verbal, and non-verbal communication with highly effective organizational and time management skills.
  • Ability to work independently, prioritize, and handle multiple tasks simultaneously.
  • Proficient with all Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
  • Experience with Optimus preferred but not required.
