The American Heart Association has an excellent opportunity for a Sr. Project Coordinator in our Mission Advancement department, working with our Government Grants team and the National SVP of Transformational Philanthropy!

 

This is a home-based position.

Responsibilities

This individual will support day-to-day operations and administration within the Transformational Philanthropy team. Support will include project management to facilitate complex proposal development, facilitating review and approval processes, managing proposal documents in multiple systems, completing assigned proposal tasks, and scheduling stakeholder meetings. The position will also provide administrative support to the SVP of Transformational Philanthropy and other team members, including calendar and travel management.  Responsible for maintaining professionalism and collegiality in support of the team, managing conflict-free calendar and travel for team members, submitting expense reports, assisting with scheduling calls and meetings, and coordinating logistics for in-person meetings as needed.

  • Provide project management for the government grant proposal development process for each proposal to ensure the project flows efficiently through all stages according to the timeline agreed upon by the writing team.

  • Provide proposal support, completing tasks assigned by the advisor, including budget development tasks, data entry, document updates, etc.
  •  
  • Track funding opportunities and projects from the point of opportunity consideration through proposal submission, standardizing file management, leveraging specific systems including Teams, OneDrive, Asana, Salesforce, and Cayuse.
  •  
  • Schedule meetings and ensure that necessary follow-up with funders, collaborators, etc., remains on track.
  •  
  • Generate reports from Salesforce, Asana, and Cayuse, providing data for various reporting purposes.
  •  
  • Use Canva and PowerPoint to create visuals to be included in proposals and for internal use.
  • Provide administrative support to the National SVP Transformational Philanthropy and the others on the team, including processing travel and expenses, calendar scheduling and planning and logistical support for events and professional development/training events, as well as preparation support and follow-up tasking from team meetings and group calls.
  • Coordinate internal and external meetings with the highest level of professionalism and communication techniques.
  • Communicate with clarity and discernment in serving a highly sophisticated funder audience.
  • Assist with the preparation of proposal documents, reports, presentations, correspondence or face-to-face meeting support materials.
  • Develop an understanding and knowledge of Mission Advancement areas of business, the Association's Mission, and goals to ensure effectiveness in the role.
  • Participates in Mission Advancement team projects and initiatives as requested.

Qualifications

  • High School diploma or equivalent work experience.
  • Five (5) years of relevant experience.
  • Exceptional organization skills, with proven ability to organize projects, tasks, and work plans with little to no supervision.
  • High technology aptitude, with strong proficiency in standard business technology applications including MS Word, Excel, PowerPoint, Teams and Outlook; as well as interest and ability to learn and work proficiently in other specialized applications, which would include Salesforce CRM, Cayuse grant management system, Oracle Fusion, and Asana project management system.
  • Working understanding of budget development, using Excel and other tools.
  • Experience in communicating progress of work, including transparency on progress and communications that support sharing and collaboration.
  • Experience providing project support and coordination for complex projects.
  • Ability to initiate support and collaborate with all levels of staff, prospects, volunteers, and funders.
  • Comprehensive ability to prepare written communications for various audiences or individuals, including report formatting and visual aids.
  • Interest and willingness to learn funding systems, processes, and terminology.

Preferred Experience:

  • Bachelor’s Degree.
  • A working understanding of fundraising and grant writing processes is highly preferred.
  • Understanding of and experience working with government funding and research environments.
  • Experience in a non-profit, hospital, research, or academic institution.
  • Experience working with colleagues in remote locations and within different time zones.
