The American Heart Association has an excellent opportunity for a Marketing Communications Project Coordinator based out of our National Center office located in Dallas, Texas. This position can be remote/home-based but must reside near a major airport.

 

Reporting to the Vice-President, Health Promotions, the Marketing Communications Project Coordinator is an experienced operations/project coordinator who provides administrative, operations, and project execution support to the 20+ members of the Health Promotions team. In addition, this position will manage special projects as they arise and include planning, organizing, and implementing organizational systems while impacting the achievement of department goals and objectives.

 

The Marketing Communications Project Coordinator will work with internal and external stakeholders, have the ability to make independent decisions on determining the methods and resources that are needed, handle and maintain highly confidential and sensitive information relative to business strategies or other matters.

Responsibilities

 

  • Perform administrative duties to assist VP, Health Promotions in all facets of overall responsibilities. Takes the lead on conducting research, independently preparing briefings, documents or other materials as needed by the VP.

 

  • Process SOWs, contracts, invoices, etc. for Health Promotions team members and expense reports for team leaders. Assists with documentation and reporting on vendor agreements, contracts, budgets, and schedules. Tracks expenses and project budgets for multiple initiatives.

 

  • Provide operational project management support for Health Promotions team in collaboration with Legal, Communications, and other internal Association departments to oversee contracts, coordinate schedules, and communicate relationship requirements.

 

  • Research, compile and distribute updates and reports with scheduled frequency.

 

  • Coordinate logistics for special events and meetings of and for Health Promotions team.

Qualifications

  • High school diploma or equivalent.
  • Three (3) years of the following experience (5 years preferred): 
    • Administrative assistant experience assisting team leader and/or multiple team members
    • Project management (planning, organizing, evaluating and modifying) experience in a fast-paced environment with multiple projects and deadlines.
    • Two (2) years of experience managing expenses and budgets for multiple initiatives.
    • Demonstrated ability to conduct research, compile reports, develop agendas, letters, memos, and other documents using various software tools, including Word, Excel, and PowerPoint.
    • Demonstrated ability to take initiative, anticipate needs and exercise independent and sound judgment.

Preferred Qualifications:

  • Prior experience with AI applications.
  • Prior experience in non-profit and/or healthcare organizations.
  • Prior experience in similar role for Marketing and/or Communications

Compensation & Benefits

The expected pay range will be $50,000 - $55,000. Pay is commensurate with experience; geographic differentials to the pay range may apply. The American Heart Association reserves the right to pay more or less than the posted range.
