The American Heart Association has an excellent opportunity for a Research and Grants Administrator in our National Center office located in Dallas, TX.  (This is a hybrid position with the expectation to be at the National Center office one day/week.)

 

The Research and Grants Administrator will serve as manager for the Association's foundational research award programs.  Handling the administrative process and day-to-day management services for funded researchers and their institutional grants and fiscal officers.

Responsibilities

  • Manages 350-400 active awards with budgets ranging from $30K to $550K. Ensures award compliance with American Heart Association policies and procedures through ongoing monitoring and review. Addresses noncompliance concerns, recommends corrective measures, and implements actions necessary to achieve and maintain compliance.  Including, but not limited to the following:
    • Reviews and approves award agreements (contracts and subcontracts) for funded projects, including awards for special research initiatives.
    • Monitors on-time award deliverable submissions and makes decisions related to any award change or exception requests.
    • Reviews award budget submissions to ensure compliance with American Heart Association guidelines and award requirements. Evaluates and approves annual award expenditures reports for adherence to organizational policies and regulations.
  • Works closely with principal investigators, grants officers and fiscal officers at the funded institutions to ensure successful reporting, communications, and outcomes.
  • Works to improve processes and customer service for awards management, including continuous improvement for projects.
  • Assists with updates to the Award Guide, the team helps document and process workflow for using the grants management system, and helps customers.
  • Assist management with special projects as needed/assigned.

Qualifications

  • Bachelor’s degree required or equivalent experience
  • Less than 2 years of related work experience
  • Account management work experience 
  • Ability to read, understand information and accurately communicate it to diverse audiences.
  • Excellent problem-solving, conditional logic and decision-making skills.
  • Ability to produce, analyze and understand financial data.
  • Ability to use databases to execute queries to generate data and information.
  • Detail-oriented and strong organizational skills.

Here are some of the preferred skills we are looking for:

  • Experience managing application, notification, and awards processes.
  • Two (2) years of related or account management work 
  • Experience in research and grants administration with a funding organization.
  • Basic knowledge of science and scientific terminology.
  • Experience/proficiency with a grants management system.
  • Experience working with institutional staff and volunteers, particularly science volunteers.
