The American Heart Association (AHA) has an excellent opportunity for a Temporary Administrative Associate – Events in our SouthWest region office in Irving, TX. The AA will provide complex administrative support and technical program assistance to the development team. Tasks include disseminating information, maintaining filing systems, and performing internal administrative support work. You will work under general supervision with moderate latitude for the use of initiative and independent judgment. This is a temporary position starting March 1^st ending October 31^st.

Essential Duties

• Support of event collateral and signage design and implementation
• Management of event expenses and budget tracking
• Event timeline management
• Contract review to execute all responsibilities of the American Heart Association
• Supply ordering and tracking management
• Supply and event materials management
• Assistance in coordinating and communicating with event staff and volunteers
• Tent form management for Dallas Heart Walk
• Company photo management for the Dallas Heart Walk
• Company packet assembly and delivery assistance for the Dallas Heart Walk
• Vendor confirmations pre-event
• Day of event vendor point of contact
• Event photographer booking and management which includes creation of shot lists, photo receipt and organization
• Management and organization of vendor databases
• Day of event assistance
• Event décor inventory management
• Assistance in meeting preparations
• Other duties as assigned by Director of Events

Required Skills:

• Minimum of 1 year experience in office practices and administrative, supporting multiple staff members
• Communicating with others to effectively carry out essential job functions
• Effectively managing multiple priorities involving multiple customers
• Highly organized with acute attention to detail
• Meeting management and event management including set up, outlook invitations, copies, catering, logistics and meeting minutes
• Knowledge of business letter writing format, style, and protocol
• Intermediate to excelled use in MS Word, Excel, Outlook and PowerPoint
