Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel.  All AHA offices are closed and staff are currently working from home. Offices will be reopening in October 2021; this position will resume to being based in the local office.



The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator in our National Hypertension Control Initiative.  Location of the selected candidate is flexible provided the location allows for effective and cost-efficient travel. 


The Coordinator will manage daily and recurring project activities relating to the general operations and management of the department and work independently to accomplish project-related goals in support of the joint American Heart Association and the OASH/DHHS Program goals and objectives. This role will support organizing meetings and teleconferences as needed, coordinating regular communications with internal and external stakeholders and database management.


This is a full time, benefits eligible, grant funded opportunity. Current funding will expire on December 31, 2023.


Essential Job Duties:


  • Support project team members on project management, manage assigned projects, support the project management needs and support the team’s administrative needs; Support the Project team on major meetings and logistics such as: planning of meetings and trainings, meetings which may include booking of venue, meeting and travel logistics, meal planning, sponsors, meeting evaluation and follow-up.
  • Provide administrative support including working with AHA systems to process invoices, contracts, requisitions, and expenses; Prepare monthly reports to track cooperative agreement activities.
  • Perform administrative duties to assist assigned staff in all facets of their overall responsibilities. Duties include: meeting and event management, creating and maintaining office and computer files, and daily and weekly knowledge of ongoing operations in assigned activities.
  • Handle financial report management/invoice management, management of legal and procurement requests - Work with the Operations Manager, procurement and contract management services to execute contracts pertinent to the Initiative Enter and tracking invoices in the accounting system. Keep current with accounting practices in order to submit staff and volunteer reimbursements.
  • Handle website management and technology support - Act as a resource and administrator for project team members on Microsoft SharePoint, maintain accurate filing and project records.

  • 3+ years of related project coordination/operational experience.
  • Must have earned a high school diploma or GED. College degree a plus.
  • Must have at least intermediate knowledge and skill with Microsoft Office for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
  • Experience and skill in using a database management system.
  • Skill in Microsoft SharePoint preferred.
  • Ability to operate in high pressure environment, prioritize work assignments, meet multiple deadlines, and monitor several projects simultaneously and functions independently with minimal supervision.
  • Skill and ability in providing customer service at an excellent level to internal and external customers and partners.
  • Strong organizational skills with ability to initiate projects, provide follow-through, work with minimum supervision, and devise alternative solutions as necessary.
