The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator, in its California Tobacco Endgame Center for Organizing & Engagement, part of Advocacy Operations


In this role, you will be responsible for providing coordination and administrative support for the California Tobacco Endgame Center project. Responsible for preparing and distributing communications, scheduling meetings and events, and other organizing efforts based on project assignments. Also, responsible for expense processing, record keeping or other administrative duties.



This is a full-time, benefits eligible grant-funded position.  Current funding is through 6/30/2024.


***Due to the current pandemic, travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily/overnight travel.  All staff are currently working from home.  In the future, this position may resume being based in the local office.***

Essential Job Duties

  • Coordinate and monitor project timelines while effectively communicating project needs and related information as required.
  • Communicate with vendors in support of training and tool development including language translation, graphic designer, editorial writer and evaluation.
  • Respond to requests for resources or administrative assistance.  Process incoming and outgoing mail, create and maintain office and computer files. Possess daily and weekly knowledge of ongoing operations in assigned activities.  
  • Assists with marketing efforts which may include updating on-line content, distribution of marketing materials, or vendors/contractors/staff communication. Act as a resource and administrator for project team members on SharePoint.
  • Utilize AHA systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to process invoices, contracts, requisitions, and expenses; Prepare monthly reports to track cooperative agreement activities. Submit staff reimbursements
  • Evaluate and maintain information and accurate data for compliance requirements or internal reporting needs.  Collaborate with internal and external customers to ensure documentation is accurate and meets expectations.

  • High School Diploma or equivalent
  • Two (2) years of ​Experience in office administration and project coordination
  • Two (2) years of experience in basic accounting procedures such as invoicing, accounts payable, and expense reporting
  • Strong interpersonal skills and the ability to work effectively with volunteers, staff, and the public as part of a team
  • Demonstrated ability to prepare written and presentation communications
  • Demonstrated customer service skills

Preferred Qualifications

  • Some college coursework preferred
  • Meeting or event planning experience
