The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator

 

The Project Coordinator will be responsible for managing daily and recurring project activities relating to the general operations and management of the NHCI clinical/QI team and the NHCI evaluation team and working collaboratively to facilitate project-related goals. This role will support event planning logistics, coordinate regular communications and meetings with internal and external stakeholders, facilitate document preparation and submissions for science approval and continuing education approval, and assist in the management of databases, as needed.

Responsibilities

This is a full time, benefits eligible, grant funded opportunity. Current funding will expire on December 23, 2023.

 

JOB SUMMARY

  • Coordinate clinical/QI team and evaluation team calendars for events within the business units, across the NHCI team, as well as with external stakeholders such as speakers, health centers, and HRSA/OMH funders
  • Help to create and manage work plans to anticipate and manage time-sensitive events or submission deadlines
  • Coordinate the development of clinical/technical event calendars, invitations, registration, and dissemination through internal and external email, newsletters, bulletins, website, and other channels
  • Support the submission of applications and related documents for CME/CE, science, or communications approval
  • Schedule and set up Zoom webinar, workshop, and forum events to ensure the technical specifications support the event design (roles, polls, break-out rooms, registration, evaluation, etc.). Invite and assign technical permissions on the platform. 
  • Coordinate planning, preparation, and rehearsals to support the clinical and technical event calendars. Create and update run-of-show documents
  • Serve as a technology host during live events to support slide/video projection, transitions, and real-time event communication
  • Support post-event debriefing, communication, and archiving of videos
  • Coordinate quarterly updates of the Resource Guide by collecting new content and working with the team to integrate updates as appropriate
  • Track, summarize, and report key metrics associated with team activities, events, and grant deliverables in collaboration with the program evaluation team.
  • Support work that relate to data quality (analyzing, cleaning, and linking data sources)
  • Gather key information needed to create and update 30/60/90-day plans, quarterly grant reports and other reporting requirements
  • Provide additional support as needed to support any needed financial or human resource reporting for the grant
  • Provide support with JotForm/Qualtrics survey data and dissemination

Qualifications

 

 

  • 3+ years of related administrative/project coordination experience.
  • Must have earned a high school diploma or GED. College degree a plus
  • Must have experience operating virtual meeting platform functionality
  • Must have at least intermediate knowledge and skill with Microsoft Office for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing
  • Experience and skill in using a database management system
  • Skill in Microsoft SharePoint preferred
  • Ability to operate in high pressure environment, prioritize work assignments, meet multiple deadlines, and monitor several projects simultaneously and functions independently with minimal supervision
  • Skill and ability in providing customer service at an excellent level to internal and external customers and partners
  • Strong organizational skills with ability to initiate projects, provide follow-through, work with minimum supervision, and devise alternative solutions as necessary
  • Experience in Evaluation Work is a plus
  • Experience in Data Visualization (Tableau) is a plus
