We are hiring a Special Events Coordinator in Denver, CO. The coordinator is responsible for preparing all event documentation and execution while coordinating with Association campaign leads to ensure consistent, exceptional experiences throughout pre-event, event and post-event phases. Duties will include management of outside vendor relations and logistics of all Denver Division events including venues, walk routes, fence staging, tenting, banner production and distribution, signage production, catering, and/or premium orders.

This is an office-based position that offers a hybrid schedule in a fast-paced environment.

This position will work with campaign leads to coordinate and secure decorations, room and site set-up, and production material orders. Attention to detail and management of the production timeline and schedule for collateral materials in the office, e.g., invitations, brochures, and programs is essential.

Some of your responsibilities will include:

• Vendor and venue Management: researches and negotiates to secure the most appropriate and cost-effective relations with outside vendors, securing multiple bids when needed.
• Day-of-Event management: Act as event execution lead, coordinating with vendors, venue, staff, and volunteers.
• Budget Management: tracking direct and indirect expenses for fiscal year and event year across all events.
• Administrative Duties: Submitting contracts for approval and invoices for payment by adhering to organization timelines.
• Project Management: track and manage event timelines, ensuring all parties are informed and event details are being completed.
• Volunteer Management: determine amount of volunteer support needed for each event and build job descriptions along with on-site volunteer management.
• Position requires periodic travel throughout the designated local markets in the Denver metro area.

• Bachelor’s degree is preferred.
• At least 2 years of experience in event logistics.
• At least 3 years of experience in event management.
• Able to lift at least 20 lbs. from the ground to waist level.
• Knowledge of principles and practices of complex meeting management.
• Excellent verbal and written business communications skills.
• Ability to anticipate and satisfy customer needs; to work independently and take initiative; to solve problems creatively and effectively; to meet and interact with all levels of American Heart Association staff and volunteers.
• Proficiency in Microsoft Office programs, knowledge in database programs a plus.
• Ability to work evenings/weekends, when necessary, with reliable transportation.
• Vendor management experience.
• Volunteer management experience.

Expected pay range will be $45,000 to $53,000. Pay is commensurate with experience; geographic differentials to the pay range may apply.
